Notifications and following

ShareMail notifies you inside the app, from the bell at the top of the right rail, on your phone if you have the app, and in a chat channel if you connect one. It does not send notification emails and does not use browser pop-ups: the point of a shared inbox is fewer emails, not more.

What rings the bell

You are never notified of your own actions. A new conversation that nobody owns does not ring the bell; that is what the unassigned badge on the inbox is for.

Click a notification to open the conversation. Every notification on that conversation is marked read together, and Mark all read clears the lot. The number on the bell is unread notifications; the Mentions badge in the sidebar is the subset that are mentions of you.

Following

You follow a conversation when you comment on it, when someone mentions you in it, or when you choose Follow conversation from the reader’s menu. Following means the comment and customer-reply events above reach you. Subscribed in the sidebar lists what you follow and counts the ones still open; Unfollow is on the reader menu and on the row when you hover it in that view.

On your phone

Everything in the table above also reaches the ShareMail app as a push notification, and tapping one opens that conversation. Nothing is sent to a phone that is not signed in, and signing a phone out from Settings stops its notifications immediately.

Two controls, and they do different things.

Settings → Profile → Push notifications, on the web or in the app, decides what we send:

Just mine is the one to reach for on a busy shared inbox: it keeps what is addressed to you and drops the running commentary on threads you follow.

Turning push down never hides anything. The bell keeps the full record either way, so nothing is lost by choosing Off.

Android’s own notification settings decide what your phone does with what we send. ShareMail files notifications under three categories, so you can mute or quieten one without touching the others:

• Assigned to you, for work handed to you and rules that name you
• Mentions and comments, for teammates talking to you
• Thread activity, for replies on threads you follow and snoozes waking

Android’s Do Not Disturb and focus modes apply as normal, which is the right place for quiet hours: your phone knows when you are asleep and we do not.

Slack and Discord

A channel can get three of these events: @mentions, assignments, and new conversations nobody owns. Each is switchable, and only the subject line travels; message bodies and comments never leave the inbox. Setup is in Integrations.
