Tags

A tag says what a conversation is about: billing, bug, vip. Any member can apply one from the + beside the subject in the reader, from the tag button on a hovered row, or to a whole selection at once.

Two kinds

• Workspace tags. Everyone sees them and can apply them. These are the ones rules can add and teammates can search by.
• My tags. Private to you. A teammate looking at the same conversation does not see your private tag on it. Use them as personal folders: “follow up Friday”, “for the newsletter”.

Both are made in Settings → Tags, where Who sees it is the choice, or straight from the tag picker with Create tag. Pick a colour; it shows as a dot in the sidebar and a chip on the row. A tag cannot be renamed once created. Deleting one removes it from every conversation.

A tag is a collection

Click a tag in the sidebar and you see everything carrying it, open, snoozed and archived alike, from any time, the way a Gmail label works. The number beside it is that whole collection. There is no tab strip; the filter menu narrows by status if you want only what is still open.

This is deliberate. A tag is a pile of related conversations, and splitting the pile by state is what nobody wants when they click it.

Tags are not status

You already have status: open, snoozed, archived, plus assignment. Those are enforced by the product; a tag that means “waiting on customer” is true only until the customer replies and nobody remembers to change it. Tag by subject matter, which does not change.

Tags stay in ShareMail

Tags are not written back to Gmail as labels. Archive, trash and spam are mirrored to Gmail; tags are ShareMail’s own layer, so tagging never rearranges anyone’s Gmail.

Searching by tag

tag:billing in search matches the exact tag name. Quote one with spaces: tag:"key account". If you have a private tag with the same name as a workspace tag, yours wins.
