Set up your workspace

What the first-run wizard asks, in order, and which answers are worth a moment's thought.

The first time you sign in, ShareMail walks you through setup before it shows you an inbox. It takes a few minutes. Everything it asks can be changed later in Settings, with one exception noted below.

If you are the first person in

You created the workspace, so you get the full flow.

  1. Your profile. Your name and, if you like, a photo. Teammates see both on your comments and assignments. Initials are fine.
  2. Your layout. Table, like Gmail, or split, like Front. This is per person and easy to change, so pick the one your hands already know. See Layout and appearance.
  3. Your organization. The company name and an icon. They brand the top of everyone’s sidebar.
  4. Connect your first inbox. Three questions:
    • Email import history: how far back the first import reaches. One week, one month, three or six. One month is the default. Older mail stays in Gmail. This is the one setting the wizard owns: there is no control for it in Settings afterwards.
    • Should messages be shared? A shared inbox is a team address like support@ that every member you add can work. Your own mail is private to you, always.
    • For a shared inbox, its address and the name it shows in the sidebar. Then Google’s sign-in screen. Sign in as the inbox’s own account, not as yourself. See Connect a shared inbox.
  5. Start fresh? The wizard says how many emails the inbox holds and offers to archive the older ones in Gmail, so the queue opens with only recent mail. Archived mail stays in Gmail and stays searchable here. The recommended answer is yes.
  6. Invite your co-workers. Email addresses and a role, member or admin. They sign in with Google using that address. There is no password to set up. Skip is fine; Settings → Teammates does the same.
  7. Done. Your inbox is importing in the background. A busy inbox takes a few minutes to fill in, working backwards from today.

If you were invited

You get the short version: your name and photo, your layout, done. The inboxes you can see are the ones an admin has added you to.
